Team, Practitioners & Roles
LightStack separates organisation members (people who can sign in and help run your organisation) from practitioner profiles (the public faces clients see and book).
1. Team members and roles
Open Team.
The page shows your current members, pending invitations, and how many practitioner and virtual-assistant seats your plan includes.
Roles
| Role | Can do |
|---|---|
| Admin | Manage the organisation, settings, team, and all operational areas. |
| Member | Work in the organisation and, when given a practitioner profile, appear publicly and take bookings. |
| Virtual assistant | See all bookings and help manage practitioner calendars without having their own public schedule. Virtual assistants are excluded from public practitioner lists. |
The exact permissions available also depend on your plan. Upgrade prompts appear when a seat limit is reached.
Inviting someone
- Click Invite new member.
- Enter their Email.
- Choose a Role.
- Click Invite.
The invitation is emailed. Pending invitations appear on the Team page until accepted.
Changing a role
Click Edit next to a member and choose a new role. You cannot remove the last admin from an organisation.
Removing someone
Use Remove next to a member, or Leave if you are removing yourself. Removing a member revokes their access to the organisation.
2. Practitioner profiles
Open Practitioners to manage the profiles clients see.
- Click New Practitioner.
- Choose the Organisation Member.
- Set a Practitioner Slug. This is used in public profile and booking URLs.
- Tick Active on public site when the profile is ready.
- Add a Summary, Header Image, and profile Image Gallery.
- Write the Biography / Info Block.
- Add Qualifications.
- Save the profile.
Active practitioner profiles appear:
- On your public team page at
/team. - At
/practitioner/:practitioner_slug. - In your booking flow at
/schedule/:practitioner_slug.
Inactive profiles are hidden from the public site but remain available to admins.
Practitioner slug
The slug is used in booking links shared with clients. Changing it breaks previously shared links, so choose a stable, simple slug and only change it deliberately.
3. The public team page
The public team page lists active practitioner profiles with a View Profile link. Use it as a “meet the team” page for your organisation.
Each practitioner profile shows:
- Header image and biography.
- Qualifications and certifications.
- Photo gallery.
- A Schedule Now button to their booking flow.
4. Troubleshooting
A team member cannot see a section. Check their role and your plan’s feature access. Virtual assistants have a narrower operational scope than admins.
A practitioner is missing from the public team page. Check that the practitioner profile is Active on public site and linked to an active organisation member.
A booking link stopped working. The practitioner slug may have changed. Use the current link from the practitioner profile or calendar settings.
I cannot invite another virtual assistant. Your plan’s virtual-assistant seat limit may be reached. The Team page shows current usage and an upgrade option.
I cannot remove an admin. At least one admin must remain in the organisation. Promote another member to admin first.
