Clients
The Clients area is your directory of the people you work with. Open Clients to search, add, import, and manage client records.
1. The client list
The list shows each client’s name, email, newsletter subscription status, and join date. Use the search box to find a client by name or email.
Add a client
Click Add Client to create a client record manually. Use this for clients who book by phone or were added outside the normal booking flow.
Import clients
Click Import Clients to upload a CSV file.
- Download the template.
- Fill in your client details.
- Optionally choose Add as Subscriber to also add them to your newsletter.
- Optionally choose an email sequence to enroll imported clients in.
- Upload the file and start the import.
2. The client profile
Click a client’s name to open their profile. The left column shows their contact details, subscription status, join date, and Contact Client button. Use Private Notes for notes only practitioners and admins can see.
The profile tabs are:
Bookings
The client’s bookings. You can open a booking or add a new one from here.
Booking History
A history of scheduling changes for the client’s bookings.
Packages
Session packages the client has purchased, including total credits, credits used, remaining credits, status, and purchase date.
Courses & Products
Course and cohort access with status, expiry, progress, and an Extend Expiry action. This is the same access shown on the purchases dashboard.
Nurturing
Email sequences for the client. You can see active sequences and use Enroll in Email Sequence to add them to a manual sequence.
Forms
Form requests and responses for the client. Click Send Form to choose a published form and email a secure link. Completed responses can be viewed here. You can also copy the form link.
3. Contacting a client
Click Contact Client to send a direct email from the platform. Enter a subject and message, then send. The client receives the email at their registered address.
For encrypted conversations, use Secure Messaging. For group conversations, use Chat.
4. Troubleshooting
A client is missing from the list. Clients appear after they book or are added/imported. A newsletter subscriber or course purchaser may not have a client record yet. You can import or add them as a client.
An imported client did not receive a newsletter. Check whether Add as Subscriber was selected and whether the email requires confirmation.
A form link does not open. The form must be published. If you copied the link, make sure the full secure URL was copied. An already completed link may show a completion message instead of the form.
A client has two records. Search by email to check for duplicates. Contact support if records need to be merged.
