Group Chat & Chat Rooms
Group chat gives your team, clients, cohorts, and members a shared space to talk in real time. It is separate from the end-to-end encrypted Secure Messaging portal: use Secure Messaging for private encrypted conversations, and Chat for shared rooms.
Open My Chats or use the chat drawer in the app.
1. Creating a chat room
- Click New Chat.
- Enter a Room Name.
- Choose an Access Control option:
- Private (Invited members only): invite specific organisation members or clients.
- Free & Paid Subscribers: a room for your newsletter subscribers and paying clients.
- AI Room: attach an AI agent to the room.
- For a private room, invite members.
- For an AI room, choose an AI Agent.
- Click Create Room.
You are added to the room automatically. Invited members see it in their chat list.
AI rooms
If your organisation has AI agents available, attaching one to a room lets it assist in real time. Depending on the agent, it can:
- Answer questions and analyse conversation context.
- Generate branded images.
- Help draft content and ideas.
See AI Assistants & Co-Creative Agents for setup and usage limits.
2. Using chat
- The room list shows your rooms, unread indicators, and an AI badge when an agent is present.
- Click a room to open the conversation.
- Use Room Members to see who is in the room.
- Use Link to Chat to copy a link to the room.
- Upload images directly into the conversation.
- AI-generated images appear in the AI Designer Gallery, where you can review history, open a full-size preview, or send a Tweak Prompt for another version.
Room settings
Open a room’s settings to:
- Rename the room.
- Change the access control option.
- Add or remove members in a private room.
- Change or remove the AI agent.
- Delete the room.
Deleting a room removes it for everyone. Remove individual members instead when you only want to change participation.
3. Context rooms
Some areas create chat rooms automatically:
- Cohort chat rooms: when a cohort uses internal community chat. Enrolled students are added automatically and access is removed when their cohort access is revoked.
- Membership community rooms: when a membership plan includes community chat.
For cohort chat setup, see Running Cohorts & Live Meetings. For membership chat, see Memberships & Subscriptions.
4. Secure messaging vs group chat
| Secure Messaging | Group Chat | |
|---|---|---|
| Best for | Private 1:1 encrypted conversations, sensitive notes, and files. | Team coordination and community rooms. |
| Encryption | End-to-end encrypted workspace. | Shared chat room. |
| Where | Secure Messaging portal. | Chat drawer and My Chats. |
See Secure Messaging for the encrypted workspace.
5. Troubleshooting
A room is missing. Check that you are a member. Ask a room administrator to add you, or confirm the room has not been deleted.
A member cannot see the room. Add them from Room Settings. For cohort rooms, check that they have active cohort access and that internal chat is enabled.
An AI agent is not responding. Check that the agent is assigned to the organisation, that it is attached to the room, and that your plan’s AI quota has not been reached.
An AI image did not appear. Generated images appear in the AI Designer Gallery. Check the gallery history or ask the agent to generate another version.
A client needs a private conversation. Use Secure Messaging, not a shared chat room.
