Payments & Receipts

This guide covers connecting Stripe, reviewing transactions, and finding payment documents.

1. Connecting Stripe

  1. Open Payment Settings for the practitioner.
  2. Click Connect Stripe and complete Stripe’s onboarding flow.
  3. Return to the page to see the connection status.

The page shows:

  • The connected Stripe account and its verification status: Setup In Progress, Under Review, Verified, Inactive, or Not Connected.
  • A link to the Stripe dashboard.
  • The platform fee percentage for your plan.
  • Refresh Account Status to re-check verification.
  • Set as Default Stripe Account when multiple accounts are connected. The default is used for digital offerings and organisation sales.
  • Disconnect Stripe when you need to remove the connection.

Paid checkout requires an active, verified Stripe connection. If the account is not ready, clients may be unable to complete payment.

2. Payment history

Open Payment History to review transactions for the practitioner.

You can filter by:

  • Status: succeeded, pending, failed, cancelled, refunded.
  • From Date and To Date.
  • Limit: how many transactions to show.

The page shows summary statistics and a transaction table with the date, client, item, amount, discount, and status. Click a transaction to open its details, including fees and net amount.

Payment documents

Where Stripe provides them, transaction details include links to:

  • Invoice (or receipt)

Use these links to give a client a copy of their payment document. Documents are hosted by Stripe and reflect the payment as recorded there.

3. What gets recorded

Payments can come from:

  • Bookings and paid session types.
  • Session packages.
  • Digital courses and cohorts.
  • Payment plan installments.
  • Memberships and subscriptions.

The payment history records the transaction, any coupon discount, platform fees, and net amount. Payment plan installments appear as separate transactions with a link back to the agreement.

4. Troubleshooting

Stripe says the account is not ready. Complete the remaining onboarding steps in Stripe, then click Refresh Account Status. Verification can take a few minutes or longer.

A payment succeeded but no document appears. Not every payment method or region produces an invoice. A receipt is shown when Stripe provides one. Check the transaction in the Stripe dashboard as the system of record.

A payment is missing from history. Check the date range and status filters. Also confirm you are viewing the correct practitioner; practitioners only see their own transactions unless you are an admin or virtual assistant.

A refund is needed. Refunds are handled in Stripe. The payment history reflects the transaction status, but refunds are not initiated from this page.

A client was charged the wrong amount. Review any applied coupon, payment plan surcharge, or member discount on the transaction. Payment plan agreements show the full schedule and surcharge.
